Role Overview

 

Reporting to the Supervisor, Travel & Office Services, the Office Services Coordinator supports the daily functions of Teck Resources Limited’s Calgary office, a satellite location of our Head office in Vancouver, BC, through various administrative and operational tasks related to office management. The role provides operational, administrative and workplace support services, including office maintenance coordination, postal and delivery services, employee and visitor support, vendor management, inventory control, office access administration, workplace safety support and general office administration.

 

This role is required to be in the office 5 days a week, Monday – Friday, during regular business hours of 8 am- 4:30 pm.

Key Responsibilities

 

  • Be a courageous safety leader; adhere to and sponsor safety and environmental rules and procedures.
  • Acquire vendor quotes for inventory purchases and maintenance services.
  • Coordinate office maintenance, service calls, and vendor relationships.
  • Manage mail, courier services, and office supply inventories.
  • Maintain kitchens, meeting rooms, and common areas to ensure a professional workplace.
  • Support office moves, furniture reconfigurations, and workplace projects.
  • Assist with meetings and events, including room setup, catering, and logistics.
  • Process invoices, P-Card reconciliations, EFT requests, and departmental expenses.
  • Support employee onboarding and offboarding, including workplace access, orientation, and workspace setup.
  • Assist with employee engagement initiatives, workplace events, and HR programs.
  • Coordinate building access, visitor registrations, and security requests.
  • Support workplace health, safety, emergency preparedness, and related documentation.
  • Maintain emergency supplies, first-aid inventories, and compliance records.
  • Provide general administrative support and assist with special projects as the need arises.

Qualifications

 

  • 1-2 years of previous office experience in a similar role is necessary.
  • Reception experience and experience coordinating vendors or facility services are an asset.
  • Proficiency in MS Office, including Word, Excel and Outlook applications.
  • Strong organizational, time management, and multitasking skills.
  • Capacity to perform under pressure and adjust to changing priorities.
  • Customer-focused with strong problem-solving skills.
  • Strong communication, attention to detail, and integrity.
  • Ability to work independently and collaboratively.
  • Physically able to lift and move supplies when required.
  • Demonstrates discretion, reliability, and a positive demeanour.

 

Pay Range: CAD $59,000 - $73,000 per year

The actual amount offered is determined based on the successful candidate’s relevant experience, skills, and competencies and considers internal equity.
