Role Overview

 

We are seeking a dynamic and experienced Project Specialist to join our global business ERP Program. Reporting to the leader of Organizational Change, this role will support the definition, control, and governance of project scope and tracking progress and achievements. In addition, the Project Specialist will help drive the identification, analysis, and resolution of program-level Risks, Actions, Issues, and Dependencies (RAID), ensuring alignment with overall program objectives and timelines.

Key Responsibilities

 

  • Be a courageous safety leader, adhere to and sponsor safety and environmental rules and procedures
  • Monitor scope alignment across OR workstreams and flag deviations or emerging scope risks.
  • Progress/Landmark Tracking and reporting: The skill to systematically monitor and report project landmarks. Review status against the plan and proactively identify risks or issues. This helps ensure timely resolution and steady delivery progress.
  • Change Control: Coordinate scope change requests, facilitating impact assessments and approvals through established governance processes.
  • Workstream Alignment: Engage with workstream leads to ensure scope clarity and consistency in the work involved.
  • RAID Management: Collaborating with internal teams, SI partners, and third-party contractors to identify, document, and analyze key Risks, Assumptions, Issues, and Dependencies that may impact program delivery. It ensures ongoing mitigation, traceability, and timely reporting via an updated RAID log. The log gives leadership clear visibility and supports informed decision-making. Third-party contractors help uncover, capture, and evaluate key Risks, Assumptions, Issues, and Dependencies affecting program delivery. It also ensures ongoing mitigation, traceability, and timely reporting through an up‑to‑date RAID log that provides leadership with clear visibility and informed decision‑making.
  • Ad Hoc Projects: Handle various unscheduled tasks as assigned by the Manager, Organizational Change.
  • Continuous Improvement: Support those managing the project in identifying areas for improvement in project execution, governance, and processes.
  • Assist with documentation, scheduling, and meeting coordination.
  • Maintain program trackers, dashboards, and resource libraries.
  • Facilitate communication between collaborators and project teams.
  • Perform tasks and duties delegated by the manager that support the overall program outcome

  • Analytical Thinking: Ability to assess complex information, identify patterns, and evaluate risks and dependencies.

  • Communication: Strong verbal and written communication skills, with the ability to prepare clear reports.
  • Collaborative: Phenomenal teammate who works well with others, supporting smooth collaboration and communication across teams.

  • Adaptability: Comfortable working in a dynamic, fast-paced environment with evolving priorities.
  • Tool Proficiency: Familiarity with project management tools (e.g., MS Project, ADO, Smartsheet).
  • Time Management: Ability to prioritize tasks based on comparative importance, vitality, and ensuring that tasks are completed on time and with high quality.
  • Proactive: Takes initiative to anticipate the needs of the project team and address issues.

Qualifications

 

  • Minimum 7 years in relevant roles; 5 years dedicated to project coordination or project management, preferably within large-scale transformation or enterprise technology programs.
  • Bachelor’s degree in business administration, Project Management, Information Systems, or related field. A relevant graduate degree or certification (e.g., PMP, CAPM, PRINCE2) is an asset.
  • Demonstrated experience supporting scope definition, control, and change management processes in sophisticated project environments.
  • Proven ability to identify, track, and analyze Risks, Assumptions, Issues, and Dependencies, with a focus on proactive mitigation and resolution.
  • Proficient in project management and collaboration tools such as MS Project, Smartsheet, JIRA, Confluence, and Microsoft 365 (Excel, PowerPoint, Teams, etc.).
  • Strong written and verbal communication abilities, accompanied by experience preparing reports and updates for senior collaborators.
  • Excellent time management, prioritization, and organizational abilities in a fast-paced, multi-project environment.
  • Experience working in multi-functional teams and engaging with both technical and business collaborators.

 

Pay Range: CAD $95,000 - $117,000 per year

 

The actual amount offered is determined based on the successful candidate’s relevant experience, skills, and competencies and considers internal equity.
