Reporting to the Program Manager, Transformation Management Office, the Project Coordinator is responsible for providing essential administrative, logistical, and coordination support to the Transformation Management Office (TMO) and project teams. This role requires 4 days in-office with 1 day of remote work.

Responsibilities

  • Be a courageous safety leader, adhere to and sponsor safety and environmental rules and procedures

  • Reporting: Compile and analyze data; prepare and coordinate reports and communicate findings to management

  • Project Systems Administration: Support the administration of project systems and tools as required

  • Project Administration: Create, maintain, and update project documentation, ensuring that project information is current and accessible to team members

  • Document Management: Maintain information in the document management system, including Project Procedures and Guidelines

  • Engagement Support: Serve as a point of contact for project teams and collaborators, ensuring effective communication and coordination

  • Meeting Coordination: Schedule, organize, and facilitate project meetings, including preparing agendas, recording minutes, and tracking action items

  • Workshop and Event coordination: Plan and implement logistics for in-person and virtual workshops, including venue selection, catering, materials preparation and technical setup

  • Travel & Logistics Coordination: Handle end-to-end travel bookings for team members, including flights, accommodations, ground transportation, and travel itineraries. Ensure compliance with travel policies and budget constraints

  • Ad Hoc Projects: Complete new projects as assigned by the Manager, Transformation Management Office

  • Continuous Improvement: Support the project team in identifying areas for improvement in project execution, governance, and processes

Qualifications

  • Diploma or certificate in business administration or a related field

  • Minimum 5 years of experience in administrative or project support to technical or project personnel

  • Knowledge of document and information management

  • Proficient in MS Word, Excel, PowerPoint, Outlook, and SharePoint

  • Independent, self-motivated, able to take the initiative to liaise with other departments and/or external sources

  • Excellent organizational and planning skills, with the ability to balance multiple priorities

  • Personal awareness – management of self & willingness to learn

  • Experience in planning and driving project coordination activities, managing schedules, balancing multiple priorities, and supporting multiple workstreams

  • Strong verbal and written communication skills, with the ability to prepare clear reports and build relationships

  • Ability to prioritize tasks based on comparative importance and vitality, ensuring that tasks are completed on time and with high quality

  • Identify and raise issues in a timely manner and assist the project team in finding solutions

  • Technical Proficiency with project management concepts and software (e.g., MS Project, Primavera)

  • Strong focus on accuracy and attention to detail in project tracking, reporting, and documentation

  • Take initiative to anticipate the needs of the project team and address issues

  • Collaborative teammate who works well with others, supporting smooth collaboration and communication across teams

  • Consistently meets deadlines and delivers high-quality work

Salary Range: $65,000 - $90,000

 

The actual base salary offered is determined based on the successful candidate’s relevant experience, skills, and competencies and considers internal equity.
