Project Administrative Assistant (12 month temporary)


Vancouver, BC, CA

Reporting to the Administration Coordinator, the Project Administrative Assistant is accountable for implementing project administrative functions and departmental tasks within the standards set by the Project Development Group. Administrative functions include but are not limited to: preparing minutes, reports and providing support on cost control, procedures and systems on the assigned major project. Catering support for projects will also be expected.




  • Be a courageous safety leader, adhere to and sponsor safety and environmental rules and procedures
  • Act as Project Admin Assistant to multiple projects that involves preparing presentations, reports, other assignments, as required by project personnel in a timely manner.
  • Act as Department Reporting Assistant that involves tracking/collecting weekly updates for the department and meet reporting deadlines set by the Senior Management Team.
  • Plans and co-ordinates requests by management in a timely manner.
  • Researches materials and executes assignments under minimal supervision and direction.
  • Prepares and submits approved expense reports for project team members.
  • Organizes schedules, meetings, functions and travel arrangements for assigned project teams.
  • Handles assignments involving highly confidential matters with utmost care and attention.
  • Provide support to all areas of the project including project controls, procurement and contracts.
  • Perform additional assignments and responsibilities as assumed or requested by the Administration Coordinator.




  • Minimum 3 years of experience in administrative support to technical or project personnel.
  • Filing skills inclusive of hard copy and electronic.
  • Excellent interpersonal skills as well as excellent written and verbal communication skills.
  • Good critical and conceptual thinking skills.
  • Proficient in MS Word, Excel, PowerPoint, Outlook, Internet Explorer and Visio.
  • Proficient in SharePoint.
  • Excellent organizational and planning skills and the ability to juggle multiple priorities.
  • Independent, self-motivated, able to take the initiative to liaise with other departments and/or external sources.
  • Previous experience in document control would be an asset.
  • Knowledge of the mining and or construction industry would be considered highly valuable.
