Role Overview

 

Reporting to the Manager, Office Services, the Office Services Coordinator serves as the primary on-site contact for workplace and facilities support at Teck's Bentall 3 office.

 

Based at the Bentall 3 reception area, this role supports the day-to-day operation of the workplace, helping to ensure the office remains safe, functional, well-maintained, appropriately stocked, and welcoming for employees and visitors. Working closely with the Vancouver Office Services team, Security, building management, vendors, and internal stakeholders, the Coordinator helps deliver a positive and seamless workplace experience.

 

This is a hands-on, service-oriented role that requires a proactive approach, sound judgment, strong customer service skills, and an on-site presence five days per week.

 

Key Responsibilities

 

  • Be a courageous safety leader and support compliance with safety and environmental policies, procedures, and standards.
  • Serve as the primary Office Services contact for Bentall 3 employees, responding to workplace and facilities-related inquiries and requests.
  • Monitor office spaces, meeting rooms, kitchens, common areas, and employee amenities to ensure a safe, organized, and functional workplace.
  • Coordinate maintenance, repairs, and service requests with building management, vendors, and internal teams, ensuring issues are resolved in a timely manner.
  • Support workplace moves, workstation changes, onboarding activities, signage, and other workplace readiness initiatives.
  • Coordinate employee access card requests, changes, and distribution, working closely with Security and relevant stakeholders.
  • Assist employees with inquiries related to parking, bicycle facilities, gym access, and other building amenities.
  • Maintain an on-site presence at the Bentall 3 reception area and provide general workplace support to employees and visitors.
  • Coordinate internal mail, deliveries, and the movement of materials between Bentall 3 and Bentall 5.
  • Manage office, kitchen, and hospitality supplies, ensuring inventory levels are maintained and replenished as needed.
  • Oversee the snack and beverage program and ensure shared spaces remain clean, organized, stocked, and operational.
  • Partner with cleaning services, vendors, and building management to maintain workplace standards and service levels.
  • Report equipment issues and coordinate required maintenance or repairs.
  • Act as a Fire Warden and participate in emergency preparedness activities, drills, and training.
  • Support First Aid requirements, emergency equipment readiness, and workplace safety initiatives, including reporting safety concerns through appropriate channels.
  • Maintain records, inventories, and documentation related to Office Services activities and workplace operations.
  • Collaborate with Office Services, Security, Facilities, Health & Safety, IT, and other support teams to ensure consistent service delivery.
  • Support workplace projects, events, vendor coordination, and other operational initiatives as required.
  • Perform additional duties to support evolving business and operational needs.

Qualifications

 

  • 1-2 years of experience in Office Services, Facilities Coordination, Workplace Operations, Administration, Hospitality, or a related service-oriented environment.
  • Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Strong interpersonal and customer service skills, with the ability to build effective relationships across all levels of the organization.
  • Demonstrated initiative, problem-solving ability, and a proactive approach to workplace support.
  • First Aid certification, or the ability and willingness to obtain certification, is considered an asset.

 

Pay Range: CAD $59,000 - $73,000 per year

The actual amount offered is determined based on the successful candidate’s relevant experience, skills, and competencies and considers internal equity.
