Role Overview
Reporting to the Supervisor, Travel & Office Services, the Office Services Coordinator supports employee and departmental moves, workplace transitions and the ongoing delivery of Office Services across the Vancouver offices.
The role works closely with employees, department representatives, vendors and internal service teams to coordinate relocations, support daily office operations and follow operational issues through to resolution. Responsibilities include ergonomics coordination, workplace safety support, maintenance follow-up, vendor pickups and backup coverage for other Office Services functions.
Key Responsibilities
• Coordinate employee and team moves across Vancouver offices, including workspace relocations and seating assignments.
• Act as the primary contact for office moves, communicating timelines, requirements and move logistics.
• Partner with Facilities, IT, Security and external vendors to ensure successful office transitions.
• Maintain move schedules, seating plans and related documentation.
• Support employees during relocations and office space changes.
• Coordinate ergonomic assessments and workplace accommodation requirements.
• Monitor and follow up on facility maintenance issues and workplace service requests.
• Support workplace health, safety and emergency preparedness programs, including Fire Warden and First Aid responsibilities.
• Provide operational support across Office Services, including reception, mailroom, vendor coordination and workplace initiatives.
• Assist with office projects, administrative tasks and other Office Services activities as required.
Qualifications
- Two to three years of experience in office administration, workplace services, facilities coordination, project coordination or a similar role.
- Previous experience coordinating workplace moves is preferred.
- Experience in reception, mailroom operations, invoice processing, vehicle administration or shipping and customs documentation is an asset.
- Strong organizational skills and the ability to handle ongoing operational duties alongside project timelines and changing priorities.
- Strong interpersonal and communication skills, with the confidence to work directly with employees, department representatives, vendors and senior collaborators.
- Strong working knowledge of Microsoft Office applications, including Outlook, Excel, Word and Teams.
Pay Range: CAD $59,000 - $73,000 per year
The actual amount offered is determined based on the successful candidate’s relevant experience, skills, and competencies and considers internal equity.
