Mail Clerk

Reporting to the Supervisor, Travel & Office Services, the Mail Clerk position aids with office support for the Vancouver offices (over 550 employees). This includes providing mailroom and various other office and delivery services. This role is a 1-year temporary position.

Responsibilities

  • Be a courageous safety leader, adhere to and sponsor safety and environmental rules and procedures

  • Accurately sort incoming packages and documents, and provide regular distribution, pick-up, and delivery service daily to all departments

  • Prepare packages and documentation for delivery by courier or through Canada Post

  • Monitor postage meter to always ensure adequate postage

  • Track late deliveries and log service issues for follow up with shipping service provider

  • Liaise with shipping service providers and assist with RFP process for local and international courier services

  • Order office supplies and ensures an adequate stock is maintained

  • Ensure photocopy areas have adequate supply of paper

  • Order business cards as requested

  • Liaise with office supply companies, address service concerns, and assist with RFP process

  • Assist with customs clearance of international shipments arriving to Vancouver Offices and conduct audits for said shipments regularly while adhering to customs clearance policy

  • Assist with moving of boxes, equipment and supplies as required

  • Maintain a clean and orderly Mailroom and tidy other areas of the office as required

  • Provide kitchen, reception and other absence coverage for Office Services team as required

  • Assist all personnel in the office as required in a helpful, positive and cheerful manner

  • Various special projects or other duties as may be assigned by the Supervisor, Office Services

Qualifications

  • 1-2 years’ previous office in a similar office role experience is necessary; previous Reception or mailroom experience is considered an asset

  • Proficiency in MS Office, including Word, Excel and Outlook applications

  • Demonstrated ability to work under pressure, meet tight deadlines and effectively handle changing priorities

  • Must possess strong time management skills and attention to detail

  • Proven ability to establish and maintain effective working relationships by exercising tact and diplomacy while maintaining the highest levels of customer service

  • Ability to learn new skills and processes within an assigned timely manner

  • Enjoys working in a team environment and can also work independently with minimal direction

  • The incumbent must possess a helpful, positive, cheerful, and professional demeanor

  • Excellent written and verbal communication skills are required for this role
