Role Overview

 

Reporting to the Lead, Resource Management, the ERP Program Coordinator is responsible for providing essential administrative, logistical, and coordination support to the ERP Program Management Office (PMO) including direct administrative support to the Director, ERP Program.

 

This role provides operational support through effective execution of the ERP Program by absorbing high volume, process driven work across PMO administration, project controls support, and resource management and onboarding activities.

Key Responsibilities

 

  • Be a courageous safety leader, adhere to and sponsor safety and environmental rules and procedures.
  • Provide direct administrative support to the Director, ERP Program , including scheduling, expense management, and travel coordination.
  • Support the coordination and logistics of ERP Program events (virtual and in-person), including workshops, planning sessions, and key meetings covering venue coordination, catering, materials preparation, and day of support.
  • Provide general administrative and operational support to the ERP PMO, including team calendar management and meeting coordination, and maintenance of program distribution lists, access lists, and organizational information.
  • Reconcile invoices against approved budgets and forecasts, supporting senior cost control Lead with validation and documentation.
  • Track and follow up on outstanding invoices across vendors and partners, escalating issues as required.
  • Support travel cost audit preparation across System Integrator partner (EY), Business Resources, and the ERP Program team, including data gathering, reconciliation, and coordination with internal and external stakeholders.
  • Assist with cost‑related data analysis, QA/QC, and preparation of inputs for financial reporting and governance forums.
  • Support technical onboarding and offboarding for employees and vendors by executing established processes and coordinating with TDS, HR, and other internal teams.
  • Maintain accurate onboarding and resourcing records, including resource lists, onboarding status, and related ERP Program reporting.
  • Coordinate and align with Organizational Readiness resources who support functional / experiential onboarding.
  • Support resource management reporting by compiling data, validating inputs, and preparing summaries for review.
  • Experience in planning and driving project coordination activities, managing schedules, balancing multiple priorities, and supporting multiple workstreams.
  • Strong verbal and written communication skills, with the ability to prepare clear reports.
  • Ability to prioritize tasks based on comparative importance, vitality, and ensuring that tasks are completed on time and with high quality in a fast-paced, dynamic environment.
  • Ability to identify and raise issues in a timely manner and assist the project team in finding solutions.
  • Strong focus on accuracy and attention to detail in project tracking, reporting, and documentation.
  • Takes initiative to anticipate the needs of the project team and address issues.
  • Great teammate who works well with others, supporting smooth collaboration and communication across teams.
  • Consistently meets deadlines and delivers high-quality work.
  • Familiarity with project management tools (e.g., MS Project, Primavera, Smartsheet).

Qualifications

 

  • Minimum 5 years of experience in administrative or project support to technical or project personnel
  • A diploma or certificate in business administration or a related discipline
  • Knowledge of document and information management
  • Experience supporting financial tracking, invoice reconciliation, or cost controls is an asset.
  • Proficient in MS Word, Excel, PowerPoint, Outlook, and SharePoint
  • Independent, self-motivated, able to take the initiative to liaise with other departments and/or external sources
  • Experience working in large, cross‑functional programs preferred.
  • Excellent organizational and planning skills, with the ability to balance multiple priorities.

 

Pay Range: CAD $68,000 - $84,000 per year

The actual amount offered is determined based on the successful candidate’s relevant experience, skills, and competencies and considers internal equity.
