Reporting to the Senior Advisor, Training & Shareholder Development, Training & Development Clerk provides clerical support for the T&D Department as well as the Human Resources Department as needed.

 

Rotation schedule will be 2 weeks on-site with 2 weeks off-site.

Responsibilities:

  • Ensure confidentiality of files and inquiries
  • Provide clerical and secretarial support to the Training & Development department personnel by answering incoming calls & emails, and assisting individuals. If vital, take messages or redirect to the appropriate personnel
  • Process and maintain accurate information for the department including time entry, leave requests, R&R schedules and changes
  • Maintain adequate inventory of office and training supplies as needed
  • Generate weekly and monthly training hour reports of total employee and contractor hours
  • Enter training records into various software systems such as the Department of Labor Apprenticeship website (RAPIDS), SuccessFactors LMS training database, Siteline, SharePoint, and Fast Field
  • Conduct audits of training records to ensure employee regulatory compliance with required training
  • Perform Siteline software Administration for individual employee roles
  • Responsible for safety performance recognition initiatives such as LTI-free awards, communications associated with safety achievements and hard hat safety decals
  • Clearly communicate to various size groups and occasionally facilitate classes to insure compliance property wide
  • Assist with reporting training system data, including project status updates, weekly, monthly, and quarterly training reports, as well as training surveys.
  • Assist with the creation, validation, and maintenance of the Learning Assignment Profile rules that connect learning to employees within the Learning Module
  • Perform other related duties as assigned

Qualifications:

High School diploma or equivalent experience

  • One (1) year prior experience with administrative support duties
  • Knowledge of Microsoft Office (Word, Outlook, PowerPoint) with an in-depth knowledge of Excel
  • Able to work independently and also in a team environment
  • Able to multitask, set priorities, and complete tasks on schedule
  • Show excellent verbal and written communication skills
  • Demonstrate excellent time management and organizational skills
  • Ability to analyze data, audit files and ensure regulatory compliance of all training records
  • Experience in training or learning management role including working with an LMS in a large, complex organization. Preference will be given to experience with SuccessFactors LMS.
