The Sr. Personnel Assistant works under the Community Relations Coordinator for the Aktiġiruq and Aŋarraaq Extension Project. They handle office tasks that include scheduling, maintaining personnel records, supporting onboarding, and encouraging positive workplace relationships
Reporting to the Community Relations Coordinator
Rotation schedule will be 2 weeks on-site with 2 weeks off-site
Responsibilities:
• Provide clerical and administrative support to the Community Reporter Program, including answering phones, filing, and office administration
• Attend and prepare minutes for meetings
• Log shift start and end times for Community Reporters
• Schedule and coordinate Community Reporter observation activities
• Assist with the onboarding and orientation of new hires
• Coordinate travel and lodging arrangements with Senior Field Administrators
• Ensure proper maintenance and accountability of vehicles and equipment
• Carry out workplace inspections, identify hazards and hazard mitigation solutions, and report unsafe conditions and behaviors
• Assist with packing rooms for departing employees to return personal belongings promptly
• Maintain files and ensure proper organization of documentation related to the Community Reporter Program
• Attend and prepare minutes for meetings
• Track consumable inventory and notify appropriate personnel when purchase of additional inventory is required
• Order and coordinate supplies from the Red Dog Mine warehouse. Submit stock supply requests, transportation vouchers, and coordinate pickup of supplies as necessary
• Receive Community Reporter office telephone calls and transfer calls or relay clear messages to supervisors
• Build and maintain positive workplace relationships with personnel
• Provide guidance to Community Reporters regarding office protocols, Project site culture, and Red Dog etiquette
• Act as the administrative point of contact for the Community Reporter Program
• Assist the Community Relations Coordinator with clerical tasks, including compiling and distributing reports and data to stakeholders
• Perform other administrative tasks as required by the Community Relations Coordinator
Qualifications:
• Minimum requirement of a high school diploma or GED, post-secondary education preferred
• Minimum of 5 years of work experience related to administrative fields
• Valid driver’s license
• Work experience specifically with Indigenous communities and/or organizations or in a natural resources industry in Alaska is an asset
• Excellent written and verbal communication and influencing skills
• Proficient with Microsoft Suite (Word, Excel, PowerPoint). Experience with SharePoint, power apps and extended Microsoft platforms is an asset
• Ability to arrange travel and order supplies in GenCID
• USA Citizen or ability to work in the USA required
