Reporting to the Logistics/Procurement Coordinator, the Purchasing Assistant will complete administrative tasks within the Purchasing Department. Ensuring that the purchase of all materials, equipment and supplies, are carried out in an efficient, and effective manner.
Responsibilities:
- Have a good knowledge of purchasing methods and procedures
- Sort through incoming emails from vendors to confirm open purchase orders, updating orders as required and then resending the revised order to the vendor
- When there are questions regarding specifications of materials, suggested substitutions or significant price variances, coordinate with appropriate personnel to resolve discrepancies
- Expedite purchase orders each rotation using the Open PO/Late Order Power BI report
- Clear all order inaccuracies to ensure the orders can be processed and received in a timely manner
- Send out the weekly auto-generation of inventory orders to the appropriate vendors, confirm open inventory orders and update the orders based upon information received from the vendor
- Possess good interpersonal and human relations skills and exercise good judgment, tact and common sense. All dealings and transactions with suppliers must be professional, courteous and impartial and based on honesty and integrity. Maintain the highest level of moral and ethical standards in the conduct of the Company’s business, ensuring that all dealings are treated confidentially
- Knowledgeable in transportation logistics by air, road, and water that are available for shipment of materials to site
- Upload new and updated Safety Data Sheets (SDS) into our on-line SDS website. Also responsible for sending monthly and quarterly reports to the Health and Safety department along with the Fire Chief
- Order bulk inventory materials as assigned to come up on annual sealift
- Other related duties as assigned
Qualifications:
- High School Diploma or equivalent
- 3-5 years previous experience in performing administrative tasks in an industrial setting preferred
- Some College coursework preferred
- Maintain professional demeanor when dealing with vendors, internal customers and team members
- Proficient computer skills, phone skills, and customer service skills
- Be service and team-oriented and show good judgment
- Possess a high level of urgency to get work completed while keeping safety at the forefront
