About our Anchorage Office
Teck's Anchorage office is home to an administrative team supporting our Red Dog Operations, one of the world's largest zinc mines, which is operated under an innovative agreement between Teck and landowner NANA, a Regional Alaska Native corporation owned by the Iñupiat of northwest Alaska.
Role Overview
Reporting directly to the General Manager, the Executive Assistant provides secretarial and clerical support service to the General Manager and Mine Senior Management.
Leadership forms the basis of a safe and healthy workplace and involves both making a commitment to put health and safety into action and proactively managing it. The
Executive Assistant will lead by example and demonstrate their commitment to health and safety by carrying out assigned work activities in a manner that reflect adherence and support of the environmental, health and safety policy, and safety program, and all standard operating procedures.
Key Responsibilities
• Manage General Manager’s office including all administrative functions, organize and manage senior-level business meetings, organize and coordinate the General Manager’s time, travel, external events and serve as liaison between General Manager and Senior Management
• Perform complex office tasks such as authoring and producing written or electronic correspondence, observing proper procedures to handle daily office projects, keeping records, managing events, taking meeting minutes, manages and monitors assigned budget(s) and expenditures, manages corporate documents, takes and transcribes dictation, produces correspondence, weekly and monthly reports, promotional materials or department publications
• Perform standard office duties such as the production of general office written or electronic correspondence including memos, correspondence, reports, and other documents using word processing equipment
• Act as custodian of basic corporate documents and records including ensuring documents remain up to date and the most recent revision is available to employees; creates and maintains database and spreadsheet files (ex. PIC (Person in Charge) listing)
• Coordinate and manage office and corporate social events on site including various programs, events, and/or regional conferences; responsible for arranging itineraries and travel for VIP visitors
• Screen incoming calls and correspondence and respond independently when possible; monitor management communications and take appropriate action; receives and routes telephone calls to individuals and/or provides answers; recognizes those circumstances when immediate additional communications are appropriate and initiates such action whenever necessary
• Conduct research, compile data, and prepare papers for consideration and presentation by General Manager and Senior Management; prepare reports, correspondence, completes various statistical reports/graphs needed to support ongoing activities
• Schedule, track and forecast the use of the conference room in the Anchorage Office and various building and equipment areas to determine who is scheduled from site and requires the use of the Anchorage facilities at any given time
• Assist the Human Resources Department or other Senior Management with overflow work or special projects
• Perform other related duties as required
Qualifications
• Post-secondary education in office administration, business administration, and four years of similar experience or at least six years of directly related experience in lieu of an Associate’s degree
• Minimum of five (5) years’ experience in providing customer service and administrative support for an executive position within an office setting
• Must have an outgoing and personable disposition suitable to establishing and maintaining positive working relations with company personnel, partners, and service providers.
• Computer related experience includes proficiency with Microsoft (MS) MS Word, MS Excel, Power Point, MS Teams and MS Outlook
• Have proficient written verbal and communication skills to effectively present information in one-on-one and small group situations to customers, clients, and other employees
• Highly organized; must be task oriented, self-motivated and have the inherent ability to multi-task, work under pressure, meet deadlines and work as a team-player
• Position requires punctuality and dependability to satisfy administrative coverage requirements
• Must be able to operate in a strict climate of confidentiality and discretion
