Reporting to the Vice President & Corporate Controller, the Executive Assistant provides support to the VP & Corporate Controller and their team with planning meetings, scheduling travel, calendar management, creating expense reports and additional responsibilities.

 

The successful candidate will be a driven, resourceful, hard-working team player that can successfully communicate and work across internal teams and external partners. We require someone with the ability to multitask, stay organized, and adjust to changing priorities in a fast-paced environment. Someone who is enthusiastic, has effective problem solving skills, and is detail oriented, with a dedication for continuous improvement. This role requires a high level of integrity and an ability to know your audience; thus, communication and interpersonal skills are crucial. 

Responsibilities

 

  • Be a courageous safety leader, adhere to and sponsor safety and environmental rules and procedures 
  • Manages the Executives’ calendar by resolving priorities and urgent situations, scheduling meetings and making changes and adjustments as required
  • Sets up/take down of meetings, coordinates catering as needed
  • Organizes schedules, meetings and travel arrangements
  • Aware of the strategic goals and objectives and supports advancement and delivery through forward planning and time management
  • Handles assignments involving highly confidential matters with utmost care and attention
  • Screens and handles all incoming inquiries
  • Organize and maintain the filing system for the team
  • Plans and co-ordinates assembly of large reports requested by management in a timely manner
  • Compiles and submits timesheets for the department, as the need arises
  • Prepare reports and meeting minutes as required
  • Research materials and completes assignments under minimal supervision and direction
  • Plans and drives various projects as assigned and required to ensure timely resolution
  • Handle the flow of information, approvals and variety of requests on the leader’s behalf
  • Other ad hoc items requested by the leaders

Qualifications

 

  • 3-5 years of experience working as an Executive Assistant
  • Post-secondary training in an administrative program
  • Highly proactive in leading key accountabilities, i.e. anticipates and resolves potential calendar conflicts
  • Proficient in MS Office, Excel, Word, PowerPoint, Teams, and Outlook
  • Excellent written and verbal communications
  • Exceptional organizational skills and proven ability to multi-task
  • Keen to take initiative, act proactively to anticipate needs, and work with minimal direction
  • A flexible and adaptable candidate who is comfortable with change, a lively and fast-paced environment, who is willing to work extra hours when required and is a natural relationship builder
  • Team oriented and able to support multiple senior leaders with comprehensive travel, meetings, and other support requirements
  • Ability to interact and communicate with various levels of management and employees

Salary Range: $57,000 - $70,000 

 

The actual base salary offered is determined based on the successful candidate’s relevant experience, skills, and competencies and considers internal equity.
