Lead, Finance & Administration

Job Summary/General Accountability

Reporting to the Director, Marketing China, the Lead, Finance and Administration is responsible for accounting, tax, HR support, payroll and general office administration functions.

 

Accounting

  • Bookkeeping for Teck Consulting (Beijing) Co., Ltd. (including Shanghai Branch) and ensure the inputs are accurate and traceable.
  • Manage banking, handle all payable, monthly journal entries, and general ledger review and accuracy. 
  • Work with local accounting firm on monthly review and verification of payments. 
  • Work with outside service provider on yearly audit.
  • Prepare monthly  invoices for head office. 
  • Prepare annual budgets, with explanation of major variances.
  • Coordinate with Vancouver accounting group for monthly financial information requirements.
  • Review employee expense reports and check for compliance with Teck’s anti-corruption policies, as well as internal control.
  • Assist in annual audit and work closely with the auditors.

 

Tax

  • Submit the tax filing with the online government system and produce financial statements for head office audit and tax filing.
  • Work with outside service provider and Vancouver tax group on all tax compliance and planning, including WFOE taxation.
  • Prepare and file quarterly and annual FEIT (Foreign Enterprise Income Tax) and BT (Business Tax).
  • Quarterly and annual tax review by outside service provider.
  • Annual tax verification certificate by Unitax, a local accounting firm.  

 

HR & Payroll

  • Responsible for maintaining relationship and communication with FESCO  , a designated government agency for employees benefit and payroll administration. 
  • Manage payroll disbursements. 
  • Ensure all government deductions and personal deductions are correct.
  • Works with Head Office Human Resources teams and Teck China leadership to assist with the local execution of employee benefit initiatives. 
  • Answer and escalate employee benefit questions/concerns around benefit eligibility and reimbursement to FESCO as necessary.
  • Responsible for accurate employee annual leave tracking.
  • Provides HR & Payroll reporting as necessary.

 

Office Administration 

  • Provides support as required for local events and executive visits. 
  • Coordinates and schedules visitor visas and itineraries for visitors. 
  • Managers office administration and vendor relationships including IT, office lease and communication with building management.  
  • Ensures all required government permits and licenses are up to date and prepare renewal documents.
  • Maintains and updates office filing systems and records as needed. 
  • All other office administration support as required.
  • Maintains office equipment and facilities in good operating condition.


 

Key Competencies

  • University or equivalent degree in Finance or Accounting.
  • Minimum 5-7 years of experience in finance or accounting roles. 
  • Excellent written and verbal communication skills in both English and Mandarin is essential.
  • An individual with the utmost integrity who acts in a transparent and consistent manner while always considering the best interests of the organization.
  • Team player, able to work effectively with stakeholders internally and externally.
  • High integrity, handles sensitive and confidential information professionally.
  • Positive, customer-service attitude with the ability to thrive and contribute in a small office environment.
  • Customer service focus with the ability to demonstrate tact, discretion, confidentiality, diplomacy, and trustworthiness.
  • Experience working with Accounting Software (preferably Yongyou U8).
  • Experience working for a foreign multinational company and ability to function effectively within this environment an asset. 
  • Understanding of various filing and document management protocol and their relevant application to the business.
  • Strong proficiency Microsoft Office applications (Word, Excel, Outlook, PowerPoint).
  • Good attention to detail and organizational skills.
