Executive Assistant, Assurance & Advisory

Location: 

Vancouver, British Columbia, CA

Reporting to the Vice President, Assurance & Advisory (A&A), the Executive Assistant, A&A is responsible for providing administrative support to the A&A group as well as the Vice President, A&A.

Responsibilities:

  • Be a courageous safety leader, adhere to and sponsor safety and environmental rules and procedures
  • Consistently maintain and demonstrate commitment to Teck’s Purpose and Values
  • Handle assignments involving confidential matters with the utmost care, attention and respect
  • Maintain, update, schedule and revise the appointment schedule/calendar of the VP
  • Provide administrative support to the Vice President A&A, and broader A&A team   
    • Draft and prepare, edit, sort, and file documents as required including correspondence, presentations, reports, project related activities, meeting agendas and other assignments
    • Coordinate meetings, conferences and workshops.  Manage calendars and assist with events. Coordinate office meeting rooms including scheduling room availability, coordinating catering and maintaining meeting room status.
    • Arrange and coordinate travel and accommodations (international and domestic) for team members whilst liaising with external contacts. Procure visas where required.
    • Other administrative duties as assigned
  • Prepare monthly expense reports for team members including coding of internal costs. Administer and process invoices, analyze and reconcile corporate credit card transactions.
  • Support the coordination and compilation of materials for the Audit Committee of the Board Meetings
  • Provide support for A&A SharePoint sites (“TeckDocs” and “ICFR”) and the new audit management system including maintenance of A&A group contact list, org chart, and strategic objectives
  • Provide support for A&A policies, standards and procedures and maintain related logs/trackers
  • Plan and deliver various projects and strategic initiatives for the department as assigned
  • Maintain A&A professional group memberships
  • Maintain external and internal email distribution lists

 

Qualifications:

  • At least 5 years of previous work experience in a Senior Administrative role in a finance or legal environment
  • Strong organization and administrative skills
  • A Diploma in Business Administration is preferred
  • Experience coordinating global meetings and travel
  • An organized mindset to support filing of hard copy and electronic records
  • Ability to efficiently operate and maintain modern office equipment (e.g., computer, networks, photocopiers, printers, Microsoft Teams)
  • Considerable knowledge of computer applications with advanced proficiency in Microsoft Word, Excel, PowerPoint, Outlook, Chrome, SharePoint, and Visio
  • Professional: discreet, confidential, and highly organized
  • Multitasker: ability to support multiple clients with comprehensive preparations for travel, meetings and other support requirements
  • Flexible: ability to adapt responsibilities based on fast-paced, changing environments and requirements (i.e., sudden meeting changes or travel requirements)
  • Detail orientated: Strong attention to detail and a highly organized self-starter
  • Communicator: Good written and verbal communication skills. Ability to communicate with stakeholders at a variety of levels of responsibility as well as various outside parties while maintaining consistency, professionalism and diplomacy
  • Punctual: Ability to meet deadlines with a high degree of accuracy
  • Independent: Ability to work under minimal supervision with considerable independent judgement and action exercised within established guidelines
  • Capable of working independently and within a team for best results
  • Ability to know and understand best practices
  • A minimum typing speed of 50 words per minute with excellent accuracy
  • Decisiveness and good judgment required to effectively operate the Executive Office, typically in the VP's absence
