Temporary ECR Administrative Assistant

Location:  Red Dog Mine, AK, US

Teck Alaska Incorporated, Red Dog Operations, one of the world's largest producers of zinc concentrate, is recruiting for a Temporary Environmental and Community Relations (ECR) Administrative Assistant. Due to anticipated needs, we are currently recruiting for a career oriented individual to fill this role.

Red Dog Mine, located in Northwest Alaska, is a large, technically challenging open pit mine, mill and port facility. It is a remote, but modern and well-equipped fly-in fly-out operation that provides free room and board for employees, and regular transportation to and from Anchorage and surrounding regional villages.

Rotation Schedule will be two weeks onsite and one week offsite

Reporting to the Senior Community Relations Coordinator, the ECR Administrative Assistant will provide secretarial and clerical support services to the ECR department/group. Leadership forms the basis of a safe and healthy workplace and involves both making a commitment to put health and safety into action and proactively managing it. The ECR Assistant will lead by example and demonstrate their commitment to health and safety by carrying out assigned work activities in a manner that reflects adherence and support of the Red Dog Operations Environmental, Health, Safety and Community Policy, and all standard operating procedures.

Responsibilities:

  • Be a courageous safety leader, adhere to and sponsor safety and environmental rules and procedures
  • Manage ECR administrative functions, organize and manage ECR meetings, organize and coordinate ECR staff time, travel and external events, visitor travel, tour groups and expense reports and data entry.
  • Perform SiteLine administrative updates (e.g., Roles and Persons Alerts) and generate and distribute SiteLine update reports.
  • Perform office tasks such as authoring and producing written or electronic correspondence, observing proper procedures to handle daily office projects, keeping records, managing  events, taking  meeting  minutes,  managing  and  monitoring  assigned  budget(s)  and expenditures, managing departmental documents (library database and hardcopy documents), taking and transcribing dictation, and producing correspondence, reports, promotional materials or department publications.
  • Perform standard office duties such as producing general office written or electronic correspondence including memos, correspondence, reports, and other documents using word processing equipment.
  • Act as custodian of basic departmental documents and records including ensuring they remain up to date and the most recent revision is available; create and/or maintain database and spreadsheet files (e.g., departmental library database and hardcopy documents, departmental Outlook calendar, rotation schedule spreadsheet, etc.).
  • Coordinate and manage office and onsite corporate events including various programs, events, and/or regional conferences; responsible for arranging itineraries and travel for regulatory, COI, or other VIP visitors.
  • Monitor departmental communications and take appropriate action; receive and route telephone calls to individuals and/or provide answers; recognize those circumstances when immediate additional communications are appropriate and initiate such action whenever necessary.
  • Conduct research, compile data, and prepare papers for consideration and presentation by ECR staff; prepare reports and correspondence, compile various statistical reports/graphs needed to support ongoing activities.
  • Other related duties as assigned.

Qualifications:

  • Post-secondary education in office administration or business administration, and two years of similar experience or at least four years of directly related experience in lieu of post-secondary education. Previous experience must include providing customer service and administrative support within an office setting.
  • Strong interpersonal skills, with an ability to work well with others.
  • Professional attitude, able to take direction and feedback.
  • Computer related experience to include proficiency with Microsoft (MS) Word, Excel, Outlook, PowerPoint and Access.
  • Must have proficient written verbal and communication skills, effectively present information in one-on-one and small group situations to customers, clients, and other employees.
  • Must be highly organized; must be task oriented, self-motivated and the have the inherent ability to multi-task, work under pressure, meet deadlines and work as a team-player.
  • Position requires punctuality and dependability to satisfy administrative coverage requirements.
